Virtual Service Advisor
Your admin.
Your right hand.
Your second pair of eyes.
A Virtual Service Advisor is a workshop-trained team member dedicated entirely to your administrative operations. They're not generic VA support; they understand automotive workflows, parts sourcing, pricing matrices, and customer communication in workshops.
They work in your systems (MechanicDesk, Elite, your supplier portals) and handle everything from job card prep to invoice finalization. So you can focus on what you actually wanted when you started this business: working on cars.

What Your VSA Does

Estimates

Parts Ordering
Source parts from your normal suppliers. Primary, secondary, and fallback options covered.
Invoicing

And everything that keeps it all together.

We do the heavy lifting.
You only unpack what makes your shop different.
Your VSA arrives trained on everything a service advisor needs to know. Automotive workflows, parts sourcing, estimating, customer communication, it's all covered before they start.
The only thing we need from you is the nuances that make your workshop yours. Your suppliers, your preferences, your way of doing things. That's the onboarding. Everything else is already done.
Hand-picked and in-house trained
Vetted and trained specifically on automotive workflows. Not generic VA training, workshop-ready from day one.
Mechanical knowledge built in
They understand parts sourcing, diagnostics language, labour timing, and the reality of how a workshop runs day to day.
Service advisor skills
Trained in customer interaction, accurate estimating, and presenting work professionally, just like your front counter would.
Works in your systems
Your workshop management system (MechanicDesk, Automation, Marlin, etc.), your supplier portals, your processes. No new tools to learn and nothing to set up on your end.
How It Works
Built around your workshop. Adjusted as you grow.
We start with hour blocks from 10 hours a week. On your onboarding call, we work out exactly what needs doing and how long it takes. From there, your hours are spread intelligently across each day so the work flows consistently, no blowouts, no gaps.
We monitor it week by week. If your workload goes up, we adjust. If it comes down, we adjust. You hear from us before anything changes. No surprises, ever.

Frequently asked.
What systems do VSAs work with? +
MechanicDesk, Automation (Microbase), Marlin, and other major workshop management systems. We have built out training for the most widely used platforms in Australia, so your VSA already knows how to use your system before they start. You do not have to teach them the basics.
They work in your tools, your supplier portals, and your processes. Nothing new to set up on your end.
How many hours per week is typical? +
Most workshops start with 10 to 20 hours a week and adjust from there based on workload. Hours are scoped on your onboarding call and monitored weekly so you are never paying for more than you need.
What if my VSA gets sick or leaves? +
We build detailed documentation for every workshop so if your VSA is off for a day or on leave, someone can step in immediately and know exactly how you operate. They give a detailed handover when jumping in and hand back cleanly when your VSA returns. Nothing gets missed.
Our VSAs run in pods and meet every morning, so the whole team is across what is happening in your workshop and the current state of every task. There is always someone trained on your workshop in the background.
If a VSA ever does leave WorkWise, you are not starting from scratch. All your workshop documentation, preferences, and processes are already built and held by us. A replacement comes in trained on your shop from day one. We hire the right people rather than filling seats, and our retention rate reflects that, but if it ever happens, you would not notice a beat missed.
How is this different from hiring a VA myself? +
A generic VA needs you to train them on automotive terminology, workflows, parts sourcing, and pricing. That takes months, and most never fully get there. We see it constantly. Workshops come to us after trying a VA and finding they end up doing basic tasks like organising emails, never quite grasping what the role of a service advisor actually involves.
Our VSAs arrive already knowing the industry. They understand what needs to be done, why it matters, and how to do it properly. That is why our clients see the ROI they do; we are not learning on your time.
Beyond the training, we are here day to day to support your VSA. They are not on their own trying to figure it out. We manage them, back them up, hold the standard, and make sure the work keeps getting done at the level your workshop needs. You get the output of a trained service advisor without the overhead of employing one.
Do you have long-term contracts? +
We ask for a 3-month minimum commitment. There is no onboarding or setup fee; we invest significant time upfront getting your systems optimised, your VSA briefed, and your workflow set up properly so nothing is wasted. That investment needs time to deliver.
After the first three months it is month to month. Most workshops stay well beyond that because the results speak for themselves.
How quickly will I see results? +
First jobs are live within 48 hours. Accuracy builds over the first 8 to 12 weeks as your VSA locks in your preferences, and by month four most workshops are running at 96% or better.
But what counts as a result is different for every workshop. For some it is purely financial: more estimates going out, more approved, more identified work getting across the line ethically. For others it is the structure. Not being stuck in the weeds means you can actually have the conversation with the fleet customer you have been putting off, or spend time on the work that grows the business rather than just keeping it running.
We see both. The financial return tends to be the most visible, but the change in how owners spend their time is usually what they talk about most.
How does your VSA handle supplier calls and customer messaging? +
Both are fully trained. For supplier calls, your VSA is trained on what to ask, how to ask it, and the right tonality to get results: whether that is chasing a part, comparing prices across your preferred suppliers, or following up on a delayed order. They work through your existing supplier relationships, not around them.
For customer messaging, the same applies. Your VSA is trained in how to communicate with customers professionally and in a way that reflects your workshop. We can also match your brand tone so messages sound like they are coming from you, not from a third party. Your customers get a consistent experience whether they are hearing from you directly or from your VSA.
Is this worth it for my size of workshop? +
We work with workshops across the full spectrum. One-man bands. Multi-hoist operations doing north of $5M a year with multiple service advisors. The VSA fits differently at each level but the core value is the same: someone who knows what needs to be done and gets it done without you having to manage every detail.
The best way to know if it fits your workshop is a conversation. We will be honest if it is not the right fit. We would rather tell you that upfront than onboard a workshop that is not ready for it.
